Settings and Options - Check-In
The Settings and Options section of Auction Flex is where you set all your standard defaults as well as adjust individual screens for look or behavior. Check-In options affect the check-in screen as well as what is required on the bidder record.
View Customer Info on Check-In. When you look up a bidder by any of the quick look-up options (name, phone, email, reserved) you may want to review and update information. A cashier will ask, “Is 123 Somewhere Way still your main address?”. This option will automatically bring up the customer detail screen to save a click and remind the cashier to ask those questions.
Compare Customer Info with DL Info. When you use the driver's license to register a customer, you want to make sure that you have the best information possible for that person. If they moved, for example, you want to update their address. This option will bring up a side-by-side comparison screen if the information on the DL is different than the information on the customer record. You can choose which information you would like to keep on the record by using radial dial buttons.
Use Advanced Driver's License Scanning. Kentucky adds in extra information when scanning that will make your monitor turn sideways, click other programs open or closed randomly, change settings, and any number of other annoying things. The Advanced Scanning option creates an isolated little sandbox for the DL to bounce around as much as it wants. When it is done, the sandbox is opened and the valid information is written to the customer record. This does not work and never will work in the cloud due to the permissions we lock down on a shared server.
Auto Alert on Customer Check In for Customers with an Outstanding Invoice Balance. If a buyer has an invoice with an amount due on it, a pop-up will appear: “Outstanding invoice balance of $23.91, would you like to view the invoice?”. If you say yes, the invoice for the past auction will appear, you can take payment, and finish registering the bidder. There is a mirror option on the checkout screen.
Perform Duplicate Customer Record Check on Buyer Check-In. This option will use the Auction Flex Duplicate Scanning Tool to look for matching or almost matching records. If found, you have the option to merge records and retain the data you wish. How we do this: we look for matching data points. If enough data points match up, we think it is a duplicate record. First name, last name, middle name, address 1, address 2, phone 1, email, DL # DOB, City, State, Zip, are all looked at as data points.
Allow Multiple Bid Cards Per Customer at Check-In. There are times when a bidder would like to have two separate invoices with different bidder numbers associated with each. Instead of creating a duplicate record, you can issue two or more different bid card numbers for this person. Reason for doing this: Customer may want to bid on items for their business that are tax-exempt, as well as remit that invoice for expense payout to their business. The other bid card number could be used as their personal invoice for items they want for themselves.
This options section also allows for forced entry on selected fields. If you want to get the phone number of each and every person who checks in, select that box. The phone field must have something in it in order to issue a bid card number.
If you use AuctionFlex to choose the bid card for the bidders at check-in, you can set the starting bid card number. An auctioneer may want to start bid card numbers outside the range of the permanent bidders, or leave themselves some room to “podium issue” a bid card number on the fly for a bidder that did not register.
Bid Cards
Print Customer Name on Bid Card - Determines whether a bid card is generic with just the number designating the bidder, or if it is personalized with the bidder's name. This is handy for dropped bid cards, someone swapping bid cards, and also to make the bidder feel “special” in a marketing move.
Print Auction Terms and Conditions on Bid Card - on any of our 8.5”x11” bid cards, you can print terms and conditions. You are limited to the number of characters in your T&C. In Auction Setup, there is a spot for a “Bid Card Terms and Conditions” with that limitation in mind.
Print Company Logo on Bid Cards (Non-Dymo Only). This allows for extra branding and personalization of a company's bid card. Uses the logo as set up in either Settings and Options Report Options, or the logo in Auction Setup if different from the Report Options default logo.
Custom Report Bid Card Name fields. We used to create customer reports, including bid cards. We do not do this anymore.
Dymo Logo - Prints a black and white smaller logo on Dymo label bid cards.
