The Registration screen is used to check in or register bidders for live in-person or online auctions. It allows for both the creation of new bidder records and the quick retrieval of existing customers using a variety of input methods.
This screen also displays a full list of registered bidders for the current auction.
Quick Check-In Options
You have several methods to check in existing buyers or determine whether someone is already in your system. Use any of the Quick Check-In buttons based on the available information:
By Name: Search using a full or partial first name, last name, or company name.
By Phone Number: Enter a full or partial number, such as the last 4 digits or last 7 digits.
By Reserved Bid Card Number: Enter the bidder’s reserved number.
By Driver’s License: Swipe the bidder’s license using either:
A magnetic stripe reader, or
A 2D barcode scanner (depending on your state requirements).
If no match is found, the system can automatically extract the bidder’s information from the license and prompt you to create a new record. These scanners can be purchased from shop.auctionflex.com.
From Customer Maintenance: If the buyer is already entered in the system, you may use the Customer Maintenance screen to locate and check them in.
By ID Field: If you issue buyer ID cards with a barcode or magnetic stripe, scan the card here. These cards are designed and managed by your auction house—not Auction Flex.
By Customer Code: Enter the buyer’s unique Customer Code, if used.
Registering a New Customer
If the customer is known to be new:
Click New Customer under the Auction Customer Controls section.
A blank customer record will appear.
Enter all pertinent information for the buyer (name, address, phone number, email, etc.).
Optional Features During Registration
Customer Alerts: Add a custom alert that will appear every time the buyer is checked in or out (e.g., “Cash Only Buyer”). These alerts help enforce payment preferences or other internal flags.
Tax Exempt Customers:
To mark a buyer as tax exempt, uncheck the box labeled Taxable 1 (and Taxable 2 if applicable).
Optionally, enter the Tax Exempt Number and the Expiration Date.
If a future registration occurs and the expiration date has passed, the bottom section of the customer record will display in red to alert the cashier to obtain updated documentation.·
Managing Registered Buyers
Once a buyer is checked in, you can perform several actions from the list of registered bidders:
Action | How To |
Edit Buyer Information | Highlight the buyer and click Edit. |
Change Bid Card Number | Highlight the buyer and click BidCard# to assign a different bid number. |
Remove Buyer | Highlight the buyer(s) and click Remove to uncheck them from the auction. |
