Using the AuctionFlex Cataloging App with AuctionFlex v10

Catalog inventory from your phone — photos, barcodes, and AI-written titles — then upload your manifest into Auction Flex v10.

The AuctionFlex Cataloging App lets you catalog inventory right from your phone. Snap photos, scan barcodes, and let AI write titles and descriptions for you. Everything you capture saves to your device, and when you're ready, you import your manifest into Auction Flex v10 on your desktop.

Note: This is a one-way upload. Once your manifest is in v10, make all further edits in v10 — changes there do not sync back to the app.

Downloading the App

The AuctionFlex Cataloging App is available for iOS and Android:

What You Need

  • Your my.hibid.com login and a team invite from your organization's owner — contact them if you don't have one yet

  • An iOS or Android device with a camera

  • An internet connection to sign in (the app keeps working offline after that)

  • Auction Flex v10 on your desktop to import your manifests

Signing In

  1. Open the app and enter your my.hibid.com email and password.

  2. Tap Sign in.

  3. Allow notifications and camera access when prompted. Notifications let you know when your items finish uploading, and camera access is required for cataloging.

If your credentials aren't working, confirm you're using your my.hibid.com login and that your organization's owner has sent you a team invite. Use Forgot password? to reset your password — it runs through the my.hibid.com password reset.

Note: Only one session can be active at a time for your login. Signing in on the web or another device with the same account ends your mobile session — just sign in on your phone again to keep cataloging.

Tip: Check Remember me to stay signed in between sessions.

If your account has access to more than one organization, you'll choose an organization after you sign in. Each organization's items and manifests are kept separate.

Cataloging Your Inventory

Your inventory is organized into manifests — a manifest is the sale container for your auction. Start a session by choosing the manifest to catalog to, or catalog to Inventory and assign items to a manifest later.

  1. Point your device at the item and tap the shutter button to take a photo. Take as many photos as you need — a Photo saved locally confirmation appears after each shot.

  2. Tap Next to save the item and move to the next one.

  3. Use the PHOTO / BARCODE toggle at the bottom to switch between the camera and barcode scanning anytime. If a barcode matches the online product catalog, the app fills in the item's details for you; if not, the item is still created with your photos and you can enter details yourself.

  4. Tap the thumbnail next to the shutter button to review or edit the most recently captured item.

  5. When you're finished, tap Done to end the session.

Choose AI title & description in your session setup and the app writes an auction-ready title and description for each item from your photos. AI needs an internet connection — if you're offline, your photos and details still save, and AI fills in titles and descriptions once you're back online.

Importing Your Manifest into v10

  1. Everything you capture syncs to your organization automatically whenever you're online.

  2. In Auction Flex v10 on your desktop, open the Manifest section and select the manifest you want to bring into your auction.

  3. Follow the import steps to add the manifest's lots to your auction. Imported lots appear in Auction Lots & Preview Images.

About source codes: Imported lots are assigned to a house seller account with the source code AFX by default. To use a different source code, enter it during import on the Miscellaneous step, or change it afterward from Auction Lots & Preview Images — select the lots, click Source, enter the new code, and click OK.

Working Offline

Everything you capture is saved to your device first. If you lose your connection while cataloging, keep going — your items are saved locally and upload once you're back online.

  • Works offline: taking photos, creating and editing items you've captured, scanning barcodes (lookup results require a connection), and navigating the app.

  • Requires a connection: signing in, uploading items and photos, barcode lookups, and AI titles and descriptions.

Troubleshooting

I edited the manifest in v10 and the app didn't change

  • The import is one-way. After the manifest is in v10, make further edits in v10 — those changes do not sync back to the app.

Can my team catalog at the same time?

  • Yes. Everyone can catalog on the mobile app at once when each person has their own invite and login. Your organization's owner can invite team members from the Users page.

The app signed me out

  • Only one session can be active at a time for your login. Signing in on the web or another device with the same account ends your mobile session. Sign in on your phone again to keep cataloging.

My invitation email never arrived

  • Check your spam or junk folder, and confirm with your organization's owner that the email address on the invite is correct.

Camera isn't working

  • Make sure camera permissions are turned on in your device settings, then try closing and reopening the app.

App feels slow

  • If you have a large batch of items waiting to upload, give the app a moment to finish. Restarting the app can also help.

Still stuck?

  • Go to Settings > Clear Local Data to clear cached data on the app — this won't affect manifests you've already imported into v10.

Tips for Best Results

  • Use natural light when possible, and avoid harsh shadows.

  • Take 2-3 photos per item (front, back, and any notable details) — the first photo becomes the cover image.

  • Let AI title & description name your items as you go — it's much easier than writing everything later.

  • Sign in while you still have a connection, then catalog freely — your items will upload once you're back online.
