Steps for transitioning to Auction Flex in the Cloud

1. Creating a Backup and Preparing the Data

Step 1: Open Auction Flex

  • Launch Auction Flex on your main computer.

  • Important: If you have multiple workstations, ensure all other PCs and any Auction Flex mobile or RF modem servers are closed completely.

Step 2: Create a Backup

  • In Auction Flex, click Backup at the top menu.

  • In the next window, click Backup Data.

  • Enter a nickname for the backup:

  • Click OK.

  • Choose the default save path:

    C:\auctionflex\backup

  • Press OK when the backup is successful.

  • Click OK again to acknowledge that this backup does not include images.

Step 3: Verify Data and Indexes

  • Click Verify Data and Indexes.

  • Click Yes on any warnings that ask if you already created a backup.

  • Wait for the verification to complete.

    • You should receive the message : "0 corrupt indexes and tables were found."

  • If you receive a message about fixed errors, run this step again until you see no errors.

  • If you get any other errors, troubleshoot as needed.

Step 4: Check for Data Irregularities

  • Click Check for Data Irregularities.

  • This step may take several minutes.

    • The expected outcome message should be:

      No data irregularities were found.

  • If errors are found and fixed, repeat until no irregularities remain.

Step 5: Pack Data and Rebuild Indexes

  • Click Pack Data and Rebuild Indexes.

    • Expected outcome message:

      Table Maintenance was successful.

  • If any errors occur, troubleshoot as needed.

Step 6: Create the Final Backup

  • Click Backup Data again.

  • Name it:

    “Move to cloud” this will make it easier to find later

  • Complete the same steps as the previous backup.


2. Downloading the Client Software and Creating a New Password

Step 1: Download App Controller

  • After setup, the customer receives an email containing:

  • Click the Windows Client link to download:

    appcontroller.allusers.exe

  • Double-click the installation file.

  • Accept terms and follow the installer prompts.

Note:
No desktop shortcut will be created automatically.

Step 2: Launch App Controller

  • Open the Windows Start Menu.

  • Search for AppController (no spaces).

  • When it opens, enter Host Address.

  • Check Create Desktop Shortcut.

  • Click Connect.

  • A shortcut will now appear on the desktop.

Step 3: Sign In

  • Enter the Username and Password (case sensitive).

  • On first login, you will be prompted to create a new password.

Password Requirements:

  • Minimum 8 characters.

  • At least:

    • 1 uppercase letter

    • 1 lowercase letter

    • 1 number or special character (! @ # $ & *)

    • Cannot contain your username

  • Confirm the new password.

  • You will see a confirmation screen.

Step 4: Access the Program

  • You will see two icons:

    • Auction Flex

    • File Explorer

  • Double-click the Auction Flex icon.


3. Moving the Data to the Cloud

Step 1: Restore the Data

  • In Auction Flex, click Backup Data.

  • On the left menu, click Backup/Restore.

  • Click Restore Backup of Data.

Step 2: Create a Backup of Existing Cloud Data

  • You will be prompted to create a backup.

  • Enter a nickname and click OK.

  • Confirm the save location (default).

  • Click OK on success messages.

Step 3: Select and Restore Your Backup

  • Click Yes to confirm you want to restore a backup.

  • In the next window:

    • Use the dropdown to select a drive labeled Client C.

  • Navigate to:

    • Client C:\auctionflex\backup

  • Select the backup made prior named:

    Move to cloud

  • Click OK.

  • When restoration completes, click OK.

  • Auction Flex will prompt to restart.

  • Click Yes to close.

  • Reopen Auction Flex.

You should now see your data.


4. Not Moving Any Local Data?

If the customer is not importing data:

  • Go to: Miscellaneous > Company Information

  • Update the Company Name and Activation Key

  • If using HiBid, enter your:

    • Aflex username: This must match your My.HiBid username

    • Aflex password: This must match your My.HiBid password

  • This links Auction Flex to your HiBid account and enables proper synchronization.

6. Managing Your HiBid Credentials

Updating Credentials After Password Changes If you change your My.HiBid username or password at any time, you must update the corresponding credentials in Auction Flex to ensure proper synchronization and connectivity:

  • Log in to Auction Flex.

  • Click on the Misc. menu option.

  • Select Company Information.

  • Locate the Aflex Username and Aflex Password fields.

  • Update these fields to match your current My.HiBid credentials.

  • Click Save to apply the changes. Why This Is Important:

  • Mismatched credentials will cause connection errors.

  • You may be unable to upload information to HiBid.

  • Syncing between platforms will fail if credentials don't match. Troubleshooting Tips:

  • Verify your updates by testing the connection after saving.

  • Check for typos in your username or password.

  • Confirm your credentials work by logging into My.HiBid separately.

  • Contact Auction Flex support if connection issues persist.

Step 1: Locate Local Images

  • Open File Explorer in the program window.

  • Navigate to:

    Client C:\auctionflex\images

Tip:

  • Folders are labeled by year and week.

  • For speed, copy only the images the customer needs first.

Step 2: Prepare Destination Folder

  • Open a second File Explorer window:

    • Click This PC.

    • Open: Local Host (f:)

  • Shared

  • AuctionFlex

  • Images

Step 3: Copy Images

  • Arrange both windows side by side.

  • Highlight the folders you wish to move.

  • Drag them into the cloud Images folder.

  • A progress bar will appear.

Important:

  • You can continue to use Auction Flex while the image transfer finishes.

  • Note images may appear missing until the transfer completes.
