Auto-Clerking Alternate Bids in Auction Flex

Auction Flex supports importing and auto-clerking alternate bids—such as online or absentee bids collected outside of HiBid or live in-person bidding. This is especially helpful when you receive bid data from a third-party platform via spreadsheet.


Where to Start

  1. Open your auction in Check-In Customers.

  2. Go to the Advanced section.

  3. Click Import Alternate Bids.


Step-by-Step: Importing Alternate Bids

Step 1: Select Your File

  • Choose your spreadsheet file (CSV format recommended).

  • Format all spreadsheet cells as Text to avoid import errors.


Step 2: Match Columns to Data Types

  • Assign spreadsheet columns to corresponding data fields in Auction Flex:

    • Column A → Bid Card #

    • Column B → Lot #

    • Column C → Bid Amount

  • If importing winning bids, check “Set bid start same as Bid Max” to ensure they are treated as final sale amounts.


Step 3: Preview the Import

  • Review how the bids will appear in the system.

  • If your spreadsheet has headers, check “Skip first row when importing.”


Step 4: Import the Bids

  • Click Import Alt Bids to complete the import.


Auto-Clerking the Alternate Bids

After the bids are imported, you will return to the alternate bid screen:

  1. Click Auto-Clerk the auction using Alt Bids.

  2. A prompt will ask if you'd like to review the data first—we recommend reviewing before proceeding.

  3. Confirm your decision in the final dialog box.



Final Steps

  • Once auto-clerked, the lots will be officially marked as sold.

  • You can now Email Results to all online bidders from the same screen.


⚠️ Important Notes

  • Simply importing alternate bids does not mark lots as sold—they must be clerked.

  • Auction Flex uses your configured bid increments (found under Auction Setup → Bid Increments) to determine the winning bid. These must be set before uploading your auction.
