How to Clerk a Catalogued Auction

Catalogued auctions (also known as pre-lotted auctions) involve items that are pre-entered into the system before clerking begins. Auction Flex’s Clerking Grid allows you to quickly enter bids, quantities, and buyer details using keyboard navigation.


Entering Bids for Catalogued Items

To clerk each lot:

  1. Enter the Lot Number.

  2. Enter the Bid Amount.

  3. Enter the Bid Card Number of the winning bidder.

  4. Enter the Quantity sold.

Choosing the Correct Price Field

Sale Type

Field to Use

Description

Times the Money

Unit Price

Price per unit; system multiplies by quantity.

One Money

Extended Price

One bid covers the total for all units.


Grouping Lots

You can group multiple lots to sell together either times the money or one money.

To group lots:

  • Sequential lots: Enter 1-3 to group Lots 1 through 3.

  • Non-sequential lots: Enter 1,3,5 to group individual lots.

  • Mixed groupings: Enter 1-3,5,7-9 to combine sequences and individual lots.

Then enter your bid amount:

  • Times the Money: Enter the bid in the Unit Price field.

  • One Money: Enter the bid in the Extended Price field.


Adding Lots During the Auction (On-the-Fly Lots)

You can clerk additional lots that were not pre-entered:

  • Manual lot number: Type an unused lot number (e.g., 123A) in the Lot Number field.

  • Auto-assign next available lot: Enter 0 in the Lot Number field, and the system will select the next open number automatically.

These are commonly referred to as "A lots" or "on-the-fly" entries.
