Clerking Grid Settings Explained

These options are useful for tailoring the clerking experience based on auction format, team preferences, or operational safeguards.

Auction Flex allows you to customize the behavior of the Clerking Grid through the Clerking tab in your system settings. These options are useful for tailoring the clerking experience based on auction format, team preferences, or operational safeguards.

To access these settings:
Go to: Miscellaneous > Maintain Settings & Options > Clerking


General Settings

Setting

Description

Allow bids less than the reserve

Prevents clerking bids below reserve price (Detailed Clerking Form only). Useful when the clerk needs to notify the auctioneer of unmet reserves.

Automatically check in buyer on first bid

Automatically registers a bidder with a reserved bid card number when they place their first successful bid. Helps track active bidders without manually checking in every reserved card.


Field Behavior (Non-Catalogued Auctions)

Setting

Description

Disable Inventory Type

Uses the default inventory type automatically. Prevents clerks from accidentally misclassifying lots.

Enter Inventory Type Last

Applies to the detailed (legacy) clerking screen. Allows entering inventory type as the last step.

Disable Description

Allows editing of the Lead only; disables the Description field.


Quantity & Pricing Behavior

Setting

Description

Assume Times the Quantity

Legacy setting for RF handheld devices. Not used in current versions.

Disable Quantity to Sell When QTY Available = 1

Prevents the clerk from selling more than the available quantity. Applies to pre-lotted auctions only.

Disable Extended Price When QTY = 1

Removes the extended price field when only one unit is available. Useful for auctions that always sell times the money.


Grouped Lot Display Settings

Setting

Description

On Grouped Lots, Keep Full Bid Amount on First Lot

Displays the full hammer price on the first lot only. Subsequent grouped lots appear blank on the seller settlement to avoid confusion.
Example:

Data Entry Accuracy Enhancements

Setting

Description

Clear Source When Clerking in Non-Lotted Multi-Consignor Mode

Requires consignor code to be entered for every new lot. Prevents assigning multiple lots to the wrong seller.

Clear Lead/Description When Clerking in Non-Lotted Mode

Resets the lead and description fields with each new lot entry. If unchecked, the previous values are reused by default.


Display Preferences

Setting

Description

Show Bid Totals in Clerking Activity Screen

Displays the auction’s total hammer price in the bottom-right corner of the clerking screen. Can be disabled for discretion.

Enable Editing of Lead Field (Catalogued Auctions)

Allows clerks to modify the lead of pre-lotted items. Default is off since most edits should be handled by cashiers.

Allow Clerking of Decimal Quantities

Enables decimal values for quantities and pricing (e.g., for items sold by weight).

Disable Extended Price (Non-Lotted Mode)

Prevents entry into the extended price field to enforce “Times the Money” behavior.

Hide Button for Detailed Clerking Screen

Hides the legacy clerking form, which is no longer recommended due to its complexity. Default is enabled.
