How to Clerk a Non-Catalogued Auction

Clerking Grid supports fast, keyboard-based entry for this format and provides options to tailor required fields based on your preferences.

Updated over 3 weeks ago

Non-catalogued (non-lotted) auctions do not have pre-entered lots. Each item is created during the clerking process, requiring you to input full details for every lot sold.

Auction Flex’s Clerking Grid supports fast, keyboard-based entry for this format and provides options to tailor required fields based on your preferences.

Step-by-Step Clerking Process

For each item sold:

  1. Enter the Lot Number

    • Each lot must have a unique number.

  2. Enter the Consignor Code

  3. Select the Inventory Type

  4. Enter a Lead and Description

    • Depending on your settings, some of these fields may be disabled or auto-filled.

Saving the Entry

When you’re ready to save the lot:

  • Press <Enter> to save the current bid and move to the next lot.

  • Press the + or = key (instead of <Enter>) to sell another quantity of the same item at the same price.

This is helpful for selling duplicate items quickly.

Field Behavior Settings

You can customize which fields are enabled or disabled during non-lotted clerking. Go to:
Miscellaneous > Maintain Settings & Options > Clerking tab

Options include:

  • Enable or disable editing of:

    • Inventory Type

    • Description field

    • Lead field

  • Auto-clear or auto-fill values like consignor code, lead, or description

  • Auto-numbering and lot sequence controls

A complete list of these settings is provided in Clerking Grid Settings Explained.
