How to Export a Catalog from the Cloud to Your Desktop

Auctioneers frequently utilize the export feature in the Cloud system for various purposes, such as importing data into other software platforms or providing detailed spreadsheets to consignors. Regardless of the use case, it's a process you'll encounter regularly. Here’s a step-by-step guide to help you navigate it.

1. Create an Export Folder

First, open File Explorer on your computer and create a folder to send the export to. In this example, we’ll name it "AuctionExports."

2. Start the Export Process

Go to Auction Lots & Preview Images in the Cloud system. Once you’re in, click the Export button in the bottom-left corner.

Next, point the export process to the folder we made earlier:

3. Set the Field Order

When the Export Auction screen pops up, you’ll see the Field Order section. This controls how the columns will appear in your spreadsheet.

At a minimum, you’ll want to include:

4. Image Export Options

In the Image Options area, you’ll find a dropdown where you can choose whether or not to include images and in what format. In most cases, you’ll want the one shown in the image below — it’s the format AuctionFlex and a lot of other software use.

The rest of the export settings can usually remain as is.

5. Choose File Type

Under File Type, select:

Comma Delimited Text File (.CSV)

This is the most commonly used format — we use it, and so do most other platforms.

Tip: Long Descriptions

If the description is too long, Excel might break it into two columns (weird, I know). To avoid this:

Once everything’s set:

That’s it! The export is now on your desktop and ready to use.
