Adding Internal Notes
You can add general notes to a customer record for internal use. These might include details about communication preferences, past issues, or buyer behavior.
To add or edit a note:
Open the Customer Center.
Double-click the customer record.
Click the Notes section on the left-hand menu.
Enter your note and click Save.
Notes are visible only to your internal team and do not display to the customer.
Using Flags for Customer Identification
Flags are visual indicators that help you quickly identify customer status or instructions.
To add a flag:
Open the customer record.
Navigate to the Flag section.
Choose from available flag options (e.g., “VIP,” “Do Not Accept Checks,” “Cash Only”).
Save your changes.
Flags appear prominently in the Customer Center list and during check-in processes.
Setting Warning Messages or Alerts
Auction Flex allows you to create pop-up alerts that appear when viewing or selecting a flagged customer. These are useful for:
Special payment instructions
Shipping limitations
Prior behavior warnings
To add a warning:
Open the customer record.
Navigate to the Alerts or Warning Message section.
Enter the message.
Click Save.
The alert will appear when the customer is involved in relevant workflows.
