System Maintenance

How to back up your data and run the System Maintenance utilities in Auction Flex

Auction Flex includes a System Maintenance feature to keep the software running smoothly. You will also receive weekly reminders to back up your data and keep the system up to date.


When you see this reminder, follow the on-screen instructions for key system maintenance procedures. Clicking Yes will open the System Maintenance window, where you can run your backup and data utilities. We highly recommend performing regular data backups, especially after large daily data inputs.


Data Backup Guidelines

The backup tool creates a single .ZIP file of all your data.

  • Important: This utility does not back up your images. If you want to back up your images, you will need to copy them manually to removable media.

  • Auction Flex supports multiple devices for removable media, including CDs, USB flash drives, and portable hard drives.

  • We recommend keeping multiple off-site copies so that in the event of a catastrophe (such as a flood or fire) at one location, your data remains safe and available.

  • We also recommend regularly backing up your computer's hard drive if you do not use removable media as your primary backup source. Failure to back up your hard drive could result in the loss of data if the drive fails.

Note: When operating on the cloud your local hard drive is the M drive. Client C on Windows and Local Drive on a mac.


System Maintenance Features

For optimal performance, run the options in the System Maintenance window in descending order:

  1. Backup Data

  2. Verify Data and Indexes

  3. Check for Data Irregularities

  4. Pack Data and Rebuild Indexes

Complete each option without errors before moving on to the next. If a maintenance task creates errors, contact Auction Flex support.

Backup Data

  • The Backup button compresses all the files in the data folder into a .ZIP file and saves it to a location of your choosing, such as a USB flash drive or your computer's hard drive.

  • Always create a backup first before performing any of the other data utility tasks.


Verify Data and Indexes

  • This feature checks Auction Flex for corrupted tables and indexes to ensure the quality of your data.

  • Make sure all forms, including the Easy Navigator window, are closed before running the data utility tools.

Check for Data Irregularities

  • Auction Flex scans for other errors that might affect your backup files or indexes.


Pack Data and Rebuild Indexes

  • Auction Flex performs table maintenance to optimize performance.
