Auction Flex allows you to send bulk emails, invoices, and settlements using an SMTP Mail Server.

πŸ”§ Step-by-Step: Setting Up Your SMTP Server

  1. Go to Miscellaneous ➜ Maintain Settings and Options.

  2. Click the EMAIL tab at the top of the Settings & Option Maintenance screen.


πŸ’Œ Step 1: Choose SMTP Mail Server for Bulk Email

In the Send Bulk E-Mail Using: section:

  • Select SMTP Mail Server (Highly Recommended).


πŸ“€ Step 2: Choose SMTP Server for Invoices & Settlements

In the Send Invoices, Settlements, etc. Using: section:

  • Select SMTP Email Server (Recommended).

  • Optionally, check Bypass email display when sending "batches" for faster processing.

In the SMTP Server Settings section, enter the following based on your email provider:

Step 1: Set up Gmail App Password

To set up Gmail App Password in Auction Flex:

  1. Enable 2-Step Verification in your Google Account via Manage Google Account > Security.

  2. Open App Passwords, name it "Auction Flex", and generate a password.

  3. Record the 16-digit App Password for later use, as this is not your normal Gmail password.

  • Click the Test button (envelope icon) to verify the connection.

  • If successful, you’ll receive a confirmation message.


⏱ Step 5: Adjust Send Delay (Optional)

At the bottom of the screen:

  • Use the dropdown to Wait X seconds between each email (recommended: 1–2 seconds for larger batches).

For bulk email campaigns, adding a delay reduces the risk of emails being flagged as spam and can improve deliverability rates.
