Set Up an Auction for a Webcast

Learn how to set up an auction in AuctionFlex so you can run it as a webcast on HiBid.

In a webcast auction, floor bidders and online bidders compete in real time. This article covers the AuctionFlex settings to review before you upload your auction to HiBid.

Set the internet bidding type to Webcast

  1. In the Easy Navigator, select Upload Auction to HiBid.

  2. Select Bidding.

  3. For Internet Bidding Type, select Webcast (Live Internet Bidding).

Set up your rings

You only need to set up rings if your webcast has more than one ring. A one-ring auction doesn't need this step. Rings are currently only used for webcast bidding.

  1. In the Easy Navigator, select Auction Setup.

  2. Select the Ring Options tab.

  3. Set Ring Count to the number of rings you need.

Review your bidding settings

Review the bidding settings before you upload. Times are in Eastern Time.

  1. In the upload window, select Bidding.

  2. Select the Settings tab.

  3. Review these settings:

    • Minimum Bid Type: Webcasts are restricted to Public Bidding (ebay style).

    • Bid Amount Type: In the list, choose Maximum Bidding (Up to) or Fixed / Flat Bidding for prebids.

    • Open Internet Pre-Bidding (Eastern Time): The date and time when lots open for prebidding.

    • Expected End of Auction - Ballpark Estimate (Eastern Time): The approximate time you expect bidding to end.

  4. Select the Bid Options tab.

Note: On the Bid Options tab, webcasts require Show Immediate Bid Status (won/lost and winning amount) on Closed Lots. It is checked automatically, and you can't change it.

Set the bid card number ranges

Separate ranges keep the numbers of your floor bidders distinct from the numbers of your online bidders. We suggest starting online bidder numbers at 7000.

Online bidders

  1. In the upload window, select Registration.

  2. On the Settings tab, enter your starting number in Starting BidCard# for Internet Bidders.

Floor bidders

  1. Go to Miscellaneous > Settings & Options.

  2. Select the CHECK-IN tab.

  3. Enter your starting number in Starting Number for Automatic Bid Card Numbering.

Note: The floor bidder starting number applies to all of your auctions, not just this one.

Important: Keep the two ranges from overlapping. Then no two bidders share a bid card number during the sale.

Set up registration

Review these registration settings before you upload. For every registration field, see Uploading an Auction to HiBid.

Registration type

Compare the registration types, and choose the one your auction really needs.

  1. In the upload window, select Registration.

  2. For Internet Registration Type, select your registration type.

Successful Registration email

Use the Successful Registration email to repeat important information.

  1. In the upload window, select Registration.

  2. Select the Successful Registration Email tab.

  3. Enter a Subject.

  4. Enter the Body.

Automatic permission

The automatic permission is the default limit for each bidder. During a live webcast you probably won't have time to raise a bidder's permission, so set it before you upload.

  1. In the upload window, select Registration.

  2. On the Settings tab, review Upon Successful Registration Automatically Create a Permission for the Bidder for the Amount.

Check your bid increments

Check your bid increments before you upload, because they mainly affect prebids. A webcast should force the minimum bid to the increment schedule. That makes prebids follow your schedule, which makes them easier to execute at the auction.

  1. In the upload window, select Bidding.

  2. Select the Bid Increments tab.

  3. Check Force Min Bid to Bid Increment Schedule.

  4. Review the Up To Amount and Increment values in your schedule.

Once the webcast is live, you can change the bid increments whenever you need to.

Upload your auction

When your settings are ready, select Upload To HiBid. For every upload setting, see Uploading an Auction to HiBid.
